QR code inventory system

A QR code inventory system puts a scannable label on a physical place or object so that pointing a phone camera at it pulls up the record for that thing. In practice the useful version labels the location rather than each item: one code on a box or shelf, and scanning it lists everything stored there without opening or unstacking it.

QR codes vs barcodes

Barcodes identify a product. A UPC on a tin of paint says what the tin is, and every identical tin carries the same code, which is exactly what a shop till needs.

QR codes can hold far more, and crucially they can identify this particular box, shelf or bay rather than a product type. They also scan from any angle with an ordinary phone camera, need no dedicated scanner gun, and stay readable when partly scuffed. For storage, where most of what you own has no product code at all, that difference is the whole argument.

Label the place, not every item

The instinct is to put a code on every object. It is a lot of printing and sticking, and most household and workshop items have no flat surface worth labelling.

Labelling locations scales far better. One code per box, shelf, rack or bay, and the app holds the list of what is inside. You print a few dozen labels instead of a few thousand, and finding something becomes a search that ends in a location rather than a hunt that ends in a code.

What a QR system does not solve

Scanning tells you what is in the thing you are already standing in front of. It does not tell you which of forty boxes to walk to. That is search, and a QR system without good search behind it just makes you scan boxes one at a time, which is barely faster than opening them.

It also does not maintain itself. If items leave a box and nobody records it, the code confidently reports contents that are not there. Any system, QR or not, is only as good as the habit of updating it, which is why capture speed matters more than label technology.

Common questions

Do I need a special printer or scanner?
No. QR labels print on ordinary paper or standard sticker sheets from a normal printer, and any modern phone camera reads them without extra hardware or an app-store scanner.
What happens if a label gets damaged or falls off?
The record is not lost, because it lives in the app rather than in the code. QR codes also carry error correction and stay readable with moderate damage. A destroyed label is reprinted for that location.
Should I put a QR code on every item?
Usually not. Labelling storage locations means printing far fewer codes, and it survives contents changing. Per-item codes make sense for high-value or individually tracked assets, such as tools that leave the building.
Do QR codes work without an internet connection?
The code itself is just a printed pattern, so scanning always works. Whether the contents appear offline depends on the app. Locately plans offline mode as part of its paid tier, and like everything on this page that is a description of work in progress, not a shipped feature.
