A small warehouse inventory app maps your physical space, bay to aisle to rack to level, and records what sits at each position so anyone can find or pick stock without asking the person who put it there. It is the middle ground between a spreadsheet, which cannot describe a rack, and a full warehouse management system, which assumes a team of pickers and an implementation project.

When a full WMS is the wrong tool

Warehouse management systems are built for scale: wave picking, labour management, carrier integration, ERP connections. They earn their cost in operations that run shifts. Below that, the cost is mostly friction.

The signals that you are being sold too much system are consistent: a setup project measured in weeks, per-seat pricing that punishes casual users, training for people who will use it twice a week, and a required integration with something you do not run.

What small operations actually need

Under a few tens of thousands of units, the problem is rarely optimisation. It is knowing where things are, and being able to answer that without a specific person present.

  • Nested locations that match the building: bay, aisle, rack, level, bin.
  • Phone-first use, because the person looking is standing in the aisle, not at a desk.
  • Scannable location labels so a position can be checked without counting along a row.
  • Photos, which settle "is this the right pallet" faster than any description.
  • Search that returns a position, so a new hire finds stock without being walked there.
  • More than one user, without per-seat pricing that makes adding a colleague a decision.

The knowledge problem

In most small warehouses, the real inventory system is a person. Someone knows the winter line is on Rack 27 because they put it there. This works until they are on holiday, leave, or the volume outgrows memory.

Writing it down converts that knowledge into something the operation owns. The practical requirement is that recording a location has to be faster than remembering it, or it will not happen during a busy week.

How Locately approaches it

Locately models bays, aisles, racks and pallets as one nested map, with QR labels on positions and photo capture for what is stored at each. Search returns the exact position and the photo. It runs on a phone because that is where the work happens.

It is honest about its limits. Multi-user access is part of the paid tier, and a proper team tier with roles and permissions is a separate future product rather than something a lifetime seat includes. Locately is pre-launch, so this describes the design rather than software you can deploy today.

Common questions

How many units can this handle?
The design target is on the order of tens of thousands of units across a nested location map. Beyond that, or once you need wave picking, carrier integration and labour management, a full warehouse management system is the right tool.
Do we need barcode scanners?
No. Location labels are QR codes read by an ordinary phone camera, which avoids buying and maintaining scanner hardware. For operations already running barcode guns, that existing hardware is not what Locately is designed around.
Can several people use one account?
The paid tier includes more than one user. It is not an unlimited team plan, and a proper multi-user tier with roles is priced separately as future work, so a lifetime seat should not be bought on the assumption that it covers a whole team.
Does it integrate with our ERP or shipping software?
Not in the beta. Integrations are planned as optional paid add-ons later. If an ERP connection is a requirement today, Locately is not the right choice yet.
